Privacy Policy
Last updated: 2026 · Applies to collisionglass.co
This policy describes what Collision Auto Glass & Calibration ("we", "us") collects through this website, why we collect it, who we share it with, and what you can ask us to do about it. It is written specifically for this site rather than being a generic template, so it names the actual fields, the actual third parties, and the actual tracking involved.
1. Who we are
Collision Auto Glass & Calibration, 14201 NW Science Park Dr, Portland, OR 97229. Phone (503) 832-4376. Email glass@collisionautoglass.com. We are a family-owned auto glass and calibration business operating shops in Cedar Mill and Tualatin, Oregon. Oregon does not operate a state registration scheme for auto glass or motor vehicle repair businesses, so there is no registration number for us to publish — if you see one claimed by a shop in this state, it is worth asking what it actually is.
2. What the quote form collects
When you submit the quote form, we receive the information you typed into it:
| Field | Required? | Why we ask |
|---|---|---|
| Full name | Yes | So we know who to ask for when we call |
| Mobile phone | Yes | To call or text you about your quote and appointment |
| Email address | Yes | To send your quote and appointment confirmation |
| Service ZIP code | Yes | To confirm the vehicle is somewhere we actually service |
| Service type | No | To route your enquiry and quote accurately |
| Vehicle year / make / model | No | To identify the correct glass |
| VIN | No | To identify the exact factory glass variant and whether a camera needs recalibrating |
| Insurance status and carrier | No | To verify your coverage and deductible before we dispatch |
We do not ask for, and this form does not collect, your policy number, driver's licence number, payment card details or Social Security number. Please do not enter any of those into the form. If you choose to give us a policy number later by phone or email so we can verify your coverage, we use it only for that purpose.
3. Advertising identifiers and analytics we capture automatically
Most visitors reach this site by clicking one of our ads. When that happens the advertising platform adds an identifier to the web address, and we read and keep it so we can tell which advertising actually produced an enquiry. Specifically, we capture whichever of the following are present:
- Google click identifiers —
gclid,gbraid,wbraid,gclsrc - Other platform click identifiers —
msclkid(Microsoft),fbclid(Meta),ttclid(TikTok),li_fat_id(LinkedIn) - Campaign parameters —
utm_source,utm_medium,utm_campaign,utm_term,utm_content - Page context — the page you landed on, the page you submitted from, and the referring website if your browser sent one
These are stored in your browser's session storage — not in a long-lived cookie — which means they persist while you browse this site and are discarded when you close the tab. If you submit the form, they are sent along with it so we can attribute the enquiry.
Google tag
We load Google's tag (gtag.js) to measure ad conversions and, where configured, site analytics. Google may set cookies in your browser to do this. Google's handling of that data is governed by its own privacy policy and how Google uses information from sites that use its services.
Enhanced conversions — what actually gets sent
When you submit the form we use a Google Ads feature called enhanced conversions. Your email address and phone number are hashed in your browser before they are transmitted — Google's tag applies a one-way cryptographic hash locally, so the plain-text values are not sent to Google by this mechanism. The hashes let Google match the conversion to the ad click that produced it. We do not use this feature to send Google your name, address, vehicle or VIN.
4. Call tracking and dynamic phone numbers
If you arrived here by clicking a Google ad, the call buttons on this page display a Google forwarding number rather than our own line. It connects straight through to us. This is how we tell which advertising produced a phone call. If you did not arrive from an ad, you see our real number and the call is not tracked at all.
When you call a forwarding number, Google records call metadata — the date, time and duration, your area code, and in most cases your call-back number — and reports it against the ad that brought you. These calls are also recorded as audio. You will hear an automated message telling you so at the start of the call, before you speak to anyone. Google's handling of that data is governed by its own privacy policy.
Microsoft Clarity — session recording and heatmaps
We use Microsoft Clarity to understand how this site is actually used, so we can fix what is confusing or broken. Clarity records a reconstruction of your visit: the pages you viewed, where you moved and clicked, how far you scrolled, and how long you stayed. It is a re-drawn playback built from those events, not a video or a screen capture of your device.
What it does not record. Everything you type into the quote form is masked before it leaves your browser. Your name, email address, phone number, postcode, vehicle and VIN are not captured by Clarity and are not visible in any recording. The masking is applied to the form itself in this site's code, not by a setting in Clarity's dashboard, so it cannot be switched off by changing an account preference.
We also attach a small number of non-personal labels to each session so recordings can be filtered usefully — which page you were on, which advertising campaign brought you, which service was pre-selected, and whether the form submitted successfully or was stopped by a validation error. None of these identify you.
Microsoft's handling of Clarity data is governed by its own privacy statement. If you would prefer not to be recorded, the opt-outs in section 8 apply, and Clarity honours the Global Privacy Control signal if your browser sends one.
The number shown in the footer identity block is our real shop line and is deliberately never replaced with a forwarding number. If you would rather not be routed through call tracking at all, dial the number in the footer and it will always reach us directly.
Regardless of what Oregon law requires of us, our own commitment is simpler: if a call is being recorded you will be told at the start of it, and you may decline and speak to us on an unrecorded line instead.
5. Who we share your information with
We do not sell your personal information for money. We share it only as follows:
| Recipient | What they get | Why |
|---|---|---|
| HighLevel (our CRM) | Your form submission and the attribution identifiers above | To store your enquiry, contact you, and route your job |
| Microsoft (Clarity) | A reconstruction of your visit — pages, clicks, scrolling and timing — with all form input masked | To find and fix usability problems on this site |
| Google (Google Ads / Analytics) | The fact a conversion occurred, the click identifier, hashed email and phone, and — for calls placed from a Google ad — call metadata and an audio recording of the call | To measure and optimise our advertising |
| Your insurance carrier | Only what is needed to verify coverage or file a claim, and only if you ask us to | To confirm your coverage and bill your claim |
| Glass suppliers | Vehicle details only — never your contact information | To source the correct glass for your vehicle |
| Our hosting provider | Standard server request data, including IP address | To serve the site and protect it from abuse |
We may also disclose information where we are legally required to, or to protect our rights, safety or property.
A note on targeted advertising
Passing advertising identifiers and hashed contact details to Google for conversion measurement is processing for targeted advertising, even though no money changes hands and we do not regard it as a sale. Under the Oregon Consumer Privacy Act you have the right to opt out of processing for targeted advertising — see section 8, or contact us using the details there and we will action it.
6. Phone, text and email contact
By submitting the quote form you agree that we may contact you by phone, text message and email about your enquiry, your quote and your appointment. Message and data rates may apply. Reply STOP to any text message to opt out of texts, or ask us on a call or by email and we will stop. Opting out of marketing does not stop us contacting you about a job already in progress.
7. How long we keep it
Attribution identifiers held in your browser are discarded when you close the tab. Enquiries that do not become jobs are retained in our CRM for up to 24 months so we can pick up the conversation if you come back. Records relating to work actually performed — including the invoice and warranty record — are kept for as long as our tax and accounting obligations require, and for as long as the lifetime workmanship guarantee on your vehicle could be claimed against. Because that guarantee runs for as long as you own the vehicle, the installation record is kept indefinitely; that is what allows us to honour a claim years later.
8. Your Oregon privacy rights
The Oregon Consumer Privacy Act came into effect on 1 July 2024. It applies to businesses that process the personal data of at least 100,000 Oregon residents, or of at least 25,000 residents where a quarter or more of revenue comes from selling personal data. A two-shop auto glass business is comfortably below both thresholds, so the OCPA very probably does not apply to us as a matter of law.
We would rather honour the rights than argue about the threshold. So if you are an Oregon resident, we will treat you as having the following rights, whether or not the statute compels us to:
- Know what personal information we have collected about you, where it came from, why we collected it and who we disclosed it to
- Access a copy of that information in a portable form
- Correct inaccurate personal information
- Delete personal information we hold about you, subject to narrow exceptions — we will keep the installation and warranty record for a vehicle we have worked on, because that is the document the lifetime guarantee is claimed against
- Opt out of targeted advertising, of any sale of personal data, and of profiling used to make significant decisions — see the note in section 5
- Obtain a list of the specific third parties to which we have disclosed personal data. This right is distinctive to Oregon, and section 5 of this page is our standing answer to it
- Withhold consent for sensitive data — although we do not collect sensitive personal data through this site at all. Note that Oregon treats precise geolocation as sensitive and bans its sale outright; we neither collect it here nor sell it
- Not be discriminated against for exercising any of these rights. We will not refuse you service, change your price, or give you a lesser standard of service because you asked
To exercise any of these rights, email glass@collisionautoglass.com with the subject line "Oregon privacy request", or call (503) 832-4376. We will verify your identity by matching what you give us against what we hold — usually the phone number or email you used — and respond within the timeframes the statute requires. You may use an authorised agent; we will ask for proof of their authority.
You can also reduce ad tracking directly: Google offers My Ad Center and an Analytics opt-out browser add-on, and most browsers let you block or clear cookies and site storage.
9. Children
This site is for adults arranging vehicle glass work. We do not knowingly collect personal information from anyone under 16. If you believe a child has submitted information to us, contact us and we will delete it.
10. Security
This site is served over HTTPS and form submissions are encrypted in transit. Our CRM is access-controlled. No system is perfectly secure, and we will not pretend otherwise — but we do not store payment card details on this website at all, and we ask you not to send us card numbers by email.
11. Changes to this policy
If we change what we collect or who we share it with, we will update this page and the "last updated" date above.
